Executive Assistant
Join our growing team at Tapp Network as a remote, part-time Executive Assistant in the Finance/HR/Operations department!
Tapp Network is a purpose-driven digital transformation agency founded in 2012 by Joe DiGiovanni and Kyle Barkins in Wilmington, Delaware. Tapp was established to bridge the gap between large corporations and mission-driven organizations, including nonprofits and government agencies, by providing advanced marketing technology and digital solutions to help their clients grow. The Executive Assistant is a vital part of the success of Tapp Network.
In the Executive Assistant role, you are a high-level administrative partner who helps senior leaders with administrative tasks (ex: calendar management, inbox management, and expenses) and invoice clients, all with strong discretion. In this role, you will also coordinate meetings and events, manage confidential information, and often assist with research and project support, acting as a strategic right hand to leadership.
Responsibilities
- Daily Administration - Owning daily administrative tasks to ensure the coordination and success of company activities.
- Calendar & Communication Management - Coordinate and optimize executive’s calendar (meetings, calls, appointments).
- Email Management - Partner with leadership to manage their email inbox.
- Travel & Expense Coordination - Plan business travel as needed for Tapp Network employees.
- Meeting & Event Support - Assist with company events, team off-sites, and client hospitality.
- Invoice & Billing - Send invoices to clients, track payment, and follow-up as needed.
- Marketing Analytics - Employ marketing analytics techniques to gather client data (social media, web analytics rankings, etc).
- Reports - Update spreadsheets, databases and inventories (statistical, financial and non-financial information).
- Brand Ambassador - Serve as a company brand ambassador for Tapp by assisting with the organization and execution and leading the facilitation of digital and/or traditional events.
Qualifications
Required Experience:
- 1+ year of experience as an executive assistant
- Have a high school diploma
- Exceptional critical thinking, organization, time management, multitasking skills
- Advanced verbal and written communication
- Tech savvy with Google Workspace, scheduling tools, and time tracking
- High discretion, confidentiality, and professionalism
- Strong problem-solving and decision-making ability
Preferred Experience:
- Prior experience invoicing clients
- Experience with ClickUp, Airtable, and/or HubSpot
- Completed a BS in marketing, communications, digital or relevant field
